Claim back money spent while volunteering with the Union

The Union will reimburse students who have spent money on fulfilling duties related to their role as a student rep.

You can also receive expenses for attending Union training events such as a club, society and peer support group committee member training. Click here to the download the claim form. Simply print it off, fill it in and return to Union House Reception.

We can provide expenses for:

- Union Councillors attending Union Council

- Part-time Student Officers attending Student Officer Committee

- Staff-Student Liaison Committees or equivalent

- School Boards

- University Committee meetings

- Being a student member of a programme review panel

- Union training events published on www.ueastudent.com

- Events related to the Union’s priority campaigns

These expenses are not payment and they must only be spent on direct costs that have been reasonably incurred solely as a result of attending a meeting or event. 

Expenses claims may fall into two categories:

Caring Responsibilities

The Union will reimburse care costs of up to £6.92 an hour that a student incurs whilst they are attending one of the above events.

The care costs will run for the length of the meeting. So for a Union Council meeting that lasts from 7pm until 9pm an applicant will receive £13.84 that we could re-imburse a Union Councillor once they produced a receipt for their childcare from a qualified caring professional who is not a family member.

Transport

The Union will reimburse travel costs for students that have only been incurred as a consequence of attending the meeting or event. To qualify for reimbursement under this category, students must provide documentation to prove their home or placement address.

Students cannot apply for travel reimbursement within the blue zone. Only between the hours of 10pm to 5am can students apply for reimbursement from within the green zone. Applicants must travel by public transport wherever possible.

Buses and train journeys will only be refunded on the production of a ticket. In the absence of viable public transport options (e.g. .where public transport does not exist or where public transport methods delay students by over one hour), students may use other means of transport.

If a taxi is required it must be booked and logged through Union House reception. Other costs will be refunded at 40p a mile (car), 24p a mile (motorcycle) or 20p a mile (bicycle) again only when there is no public transport available.

Red: Bus routes operating direct from the University

Blue: The area from which student residents cannot apply for a bursary.

Green: The area from which student residents cannot apply for a bursary should the meeting end before 10pm.
