Briefing Procedure

Briefing and Reporting for Student Representatives on University Committees

The responsible Full-time Officer will send out notice of the upcoming committee meeting to representatives, no later than one week before the meeting.

The responsible Full-time Officer will arrange a briefing to take place before the committee meeting. For afternoon meetings, the briefing will normally take place over the lunchtime prior to the meeting.

Representatives should make sure that they read as much of the agenda and accompanying papers as possible before the briefing.

At the briefing, the responsible Manager and responsible Full-time Officer will advise on any relevant details that have been discussed at committee meetings in the past and what Union policy, if any, is.

It will be agreed at the briefing which representative will report back to both the responsible Manager and Union Council.

After a meeting, a representative will prepare a short written report that should be agreed by other representatives on the committee.

The report should be submitted to the responsible Manager for reference and to the next meeting of Union Council for discussion.

If representatives fail to turn up to briefings or committee meetings without an apology, or if representatives fail to submit a report, Union Council may decide to remove the individual as a representative.
